Executive Assistant

Full Time

KEY RESPONSIBILITIES

  • Management of the CEO Schedule (Outlook emails and calendar)
  • Travel management (Ticket booking, Visa application, Itinerary, and other necessities for travel)
  • Check each department reports for signature and approval of the CEO
  • Maintain accurate record of the management
  • Manage and reviews business contracts
  • Attends meeting and recording minutes, actions, and accountabilities
  • Produce and collate high quality documents and presentations
  • Arrange social events, dinner, and other meetings
  • Maintain high level of confidentiality of sensitive information of the CEO. Organize files and ensure up to date of all personal documents
  • Handle Expense sheet and submit to Accounts Department
  • Manage and review company’s legal documents that needs to be signed by the CEO
  • Close coordination with sales, client, warehouse, materials submittals, plating works, and aftersales section.
  • Prepare P.O for stock orders and suppliers and check sales quotation, sales order, delivery request, product enquiry, SOA, Sales order, and status report.

QUALIFICATIONS

  • Bachelor’s degree from a reputable university, preferably with related Mathematics degree
  • Proven good record as Executive Assistant to the CEO
  • Excellent communication skills
  • Highly organized
  • Excellent time management
  • Must be well-versed in Microsoft Office
  • Exceptional leadership skills
  • Must have knowledge in Sanitary ware and ceramics business process
  • Flexible and has proactive approach at work
